ADMINISTRATIVE ASSISTANT III (ACCOUNTS DEPARTMENT)

JOB SUMMARY:
- Takes dictation and transcribes from shorthand/notes.
- Types letters, memoranda, and other documents from rough drafts, filling in details, which may have been omitted, reference codes, etc., by good stenographic and secretarial practice, and established corporate standards.
- Checks arithmetic computations on documents for correctness before typing. Takes notes and prepares minutes as directed.
- Opens, registers and routes incoming mail, registers/dispatches outgoing departmental mail and prepares responses to routine correspondence as necessary.
- Ensures the appropriate flow of communication between the Departmental Head and other executives, subordinate managers and outside agencies as required.
- Answers callers in person or by telephone, takes action on routine matters, redirects calls to the relevant departments as appropriate and ensures that all messages are appropriately recorded and transmitted to the Divisional Head and/or relevant departments/sections/agencies, including Telefax and Telex messages.
- Arranges meetings, interviews and related programmes as directed.
- Keeps the Head of Department abreast of his/her daily appointments, cancelling and rescheduling meetings when necessary, and identifying those activities, which need immediate attention.
- Accesses files (office and central) to extract specific information as required.
- Maintains the Section’s Leave and Attendance Records, reconciles with computerised records and submits monthly reports to Head of Department.
- Maintains the office filing system in accordance with standing instructions, including keeping a follow-up file on appointments and correspondence.
- Compares office expenditure with budgeted estimates, and records discrepancies for the Head of Department’s attention and action.
- Operates office machines, including the copying machine. Ensures that stationery supplies are adequate for the office.
- Ensures the smooth running of the office, and that the office environment is kept clean and tidy at all times.
- Prepares the Annual Procurement Plan for the Department.
- Prepares all E-Submission for procuring goods or services for the Department.
- Performs other related duties as required by the job function.
EDUCATION & TRAINING:
- Five G.C.E. O’ Level or C.X.C. General Proficiency passes, including Mathematics and English Language.
- Executive Secretary’s Diploma or equivalent qualification e.g. Administrative Professional Secretary (APS).
KNOWLEDGE, SKILLS & EXPERIENCE:
- At least three (3) years’ experience in an administrative position.
- Knowledge of the Commission’s general operating policies, practices, procedures and HSE rules and Departmental Objectives.

JOB SUMMARY:
- Assists in monitoring tracking and coordinating construction activities.
- Prepares a detailed daily log of construction activities on project sites, inclusive of but not limited to, works completed, progress and any delays, the number and type of workers employed, weather conditions, visitors to the site, drawings received, deliveries, instructions and any other details of any significant events.
- Updates construction drawings and prepares ‘As Built Drawings’. Reviews Job Hazard Analysis for civil and structural works. Assists in the preparation of Accident and Near Miss reports.

- Liaises with statutory authorities and other stakeholders, as required. Attends project meetings when required.
- Performs basic survey tasks (levels, setting out). Assists in the preparation of snag and defect lists.
- Provides relevant information for the preparation of progress reports, processing of valuations and for the overall management of the civil and structural works.
- Assists in identifying stock and non-stock items for issuance.
- Receives and identifies materials from packing list and assembly drawings.
- Performs other duties as required by the job function
EDUCATION & TRAINING:
- Five (5) O’Level GCE/CXC General Proficiency passes including Mathematics and English Language.
- National Engineering Technician Diploma (NETD) in Civil Engineering or equivalent qualification from an accredited institution. Introduction to Supervisory Skills training.
- Valid Defensive Driving certificate.

JOB SUMMARY:
- Carries out inspections and assists in the maintenance, testing, troubleshooting and repair work on plant and equipment including all switchgears, transformers and related apparatus, tap changers and other ancillary equipment as required.

- JOB SUMMARY:
- Inspects and maintains surveillance over the generating machines and associated equipment at the Power Stations in accordance with the Commission’s standards, practices and safety rules in order to promote safe, effective and reliable operation of the Power Stations.
- Prepares engines for starting in accordance with manufacturer’s instructions and practices, as directed.
- Reports immediately to the Supervisor on duty current status and any abnormal situations or occurrences with respect to plant and equipment at the Power Stations.
- Takes all machine readings and logs these in the appropriate data sheets and software.

- phase H.V. and L.V. lines, transformer size and sectioning of low voltage circuits.
- Projects a favourable image of the Commission in the eyes of the public.

- Determines safety and security risks associated with jobs and informs the Utilization Engineer accordingly.
- Designs and maintains the Civil Drawing Library and designs for special requirements.

- Designs and submits construction and alterations to the Transmission and Sub-transmission lines to the Utilization Engineer.

- Answers incoming calls during the “lunch hours” and after normal “working hours”.

- Uses computers, T&TEC’s Trouble Reporting Software and other software to:
- generate, manage and produce electronic copies of Trouble Reports
- compile on outages, substation parameters, historical events/trends etc.
