JOB SUMMARY:
- Takes dictation and transcribes from shorthand/notes.

- Checks arithmetic computations on documents for correctness before typing. Takes notes and prepares minutes as directed.

- Accesses files (office and central) to extract specific information as required.
- Maintains the Section’s Leave and Attendance Records, reconciles with computerised records and submits monthly reports to Head of Department.
- Maintains the office filing system in accordance with standing instructions, including keeping a follow-up file on appointments and correspondence.
- Compares office expenditure with budgeted estimates, and records discrepancies for the Head of Department’s attention and action.
- Operates office machines, including the copying machine. Ensures that stationery supplies are adequate for the office.
- Ensures the smooth running of the office, and that the office environment is kept clean and tidy at all times.
- Prepares the Annual Procurement Plan for the Department.
- Prepares all E-Submission for procuring goods or services for the Department.

EDUCATION & TRAINING:
- Five G.C.E. O’ Level or C.X.C. General Proficiency passes, including Mathematics and English Language.
- Executive Secretary’s Diploma or equivalent qualification e.g. Administrative Professional Secretary (APS).
KNOWLEDGE, SKILLS & EXPERIENCE:
