CONTRACTUAL POSITION
Trainee Development Officer
On-The-Job Training Programme
JOB TITLE: TRAINEE DEVELOPMENT OFFICER
JOB SUMMARY:
The Trainee Development Officer is expected to provide support to the Senior Trainee Development Officer, Trainee Development. This officer is required to execute the curriculum, monitor and evaluate the programmeâs effectiveness and make recommendations for trainee certification.
REPORTS TO:
Senior Trainee Development Officer
SUPERVISION GIVEN TO:
KEY RESPONSIBILITIES:
- Develop trainee training plans so as to address continuous assessment.
- Provides continuous supervision of trainee attendance, development of work attributes, trainee growth in knowledge and skills, contribution to the placement organization and obtains from trainee views on placement.
- Ensures thorough collaboration with placement providers that training levels are maintained to satisfy standards for national certification.
- Ensures the maintenance of record and provides up-to-date information as required by the OJTÂ Training Programme
- Recommends interventions trainees where necessary.
- Resolves problems with employers arising out of placements.
- Logs and delivers reimbursement cheques and other documents to private sector training providers and assists with the collection of overpayments.
- Prepares reports on various activities of the Programme under the purview for supervisor.
- Performs related work as may be required.
KNOWLEDGE, SKILLS AND ABILITIES
KNOWLEDGE:
- Considerable knowledge of the methods of placement-for-learning in the work setting and the techniques of evaluating growth in the acquisition of the knowledge, skills and abilities
- Considerable knowledge of counselling/guidance techniques and methods
- Proficient in Microsoft Office
- Ability to analyse and identify problems and to recommend effective solutions.
- Ability to express ideas clearly and concisely, both orally and in writing and to prepare clear and comprehensive reports.
SKILLS AND ABILITIES:
- Strong motivational and Team Building skills.
- Customer Focus
- Dedicated to achieving the goals of the agency.
- Proactively develops open, honest and trusting relationships for mutual benefit.
- Demonstrates respect by behaving in a courteous and respectful manner when dealing with others, regardless of their status and background.

MINIMUM EXPERIENCE AND TRAINING:
- Bachelorâs degree in management studies from a recognized institution.
- At least three (3) years working experience in a TVET or training environment.
- Any suitable combination of experience and training
- Minimum experience (3 years) working on Human Development related field.
- Minimum experience (3 years) in a supervisory position

Placement and Marketing Officer I
On-The-Job Training Programme
JOB TITLE:Â Â Â Â Â PLACEMENT AND MARKETING OFFICER I
JOB SUMMARY:
The incumbent is required to provide high-level support to the Placement and Marketing Officer II. Responsibilities include placement of trainees as well as coordinating the placement activities within the Placement Unit.
REPORTS TO:
Placement and Marketing Officer II
SCOPE AND IMPACT:
The position of Placement and Marketing Officer I is responsible for supporting the Placement and Marketing Officer II in all aspects of the day-to-day office operations inclusive of Trainee Placements. The services provided are critical in the ability of the office to produce its targets and maintain good trainee and provider relations.
DUTIES AND RESPONSIBILITIES:
- Assists with the placement of trainees to ensure OJTâs targets are met.
- Co-ordinate all administrative aspects of the office activities; ensure smooth office operations.
- Works closely with the Placement and Marketing Officer II to ensure trainees are aware of policies and procedure for their chosen field and assigned placement.
- Develops and schedules appointment with Providers and Human Resource Managers to determine appropriate customized programmes and strategies for trainee placement.
- Assists with business and industry contacts to determine the need for skilled personnel.
- Assists with the promotion of OJT services and maintains a high profile and professional company image.
- Lends support to the Placement and Marketing Officer II as the OJTP seeks to maintain working relationships with training providers.
- Prepare reports on incidents/issues arising from placement as may be required.
- Responsible for timely submission of relevant reports and documents from subordinates under purview.
- Performs other related duties as may be required.
- Assists with creation of efficiencies and process improvements in quality of the OJT Programme.
- Strong teamwork and interpersonal skills.
- Sound knowledge of On-the-Job-Training Programme.
- Computer literacy and working knowledge of Microsoft Office.
- Excellent oral communication and business writing skills.
- Experience with supervision of staff and appraisal process.
- Excellent administration skills and understanding of budgets.
- Basic knowledge of Human Resource Management.

Placement and Marketing Officer II
On-The-Job Training Programme
JOB TITLE: PLACEMENT AND MARKETING OFFICER IIJOB SUMMARY:
The incumbent is required to report directly to the Programme Director, On-the-Job Training (OJT), and is responsible for Marketing, Directing and Achieving Placement Objectives of the OJT Programme.
REPORTS TO:
Programme Director, On-the-Job Training
SCOPE AND IMPACT:
This position of the Placement and Marketing Officer II has a direct impact on the effectiveness and efficiency of placement and operations of the OJT Programme by employing Marketing and Managerial techniques to identify, develop, and evaluate marketing strategies, based on knowledge of OJTP s objectives and Labour Market needs.
DUTIES AND RESPONSIBILITIES:
Administrative
- Manages the operations of the Programme for an assigned Region/Sector.
- Ensures proper implementation and management of the administrative function inclusive of records management and document control.
- Ensures that the necessary documents and approvals are forwarded to the Head Office in a timely manner to
- prevent overpayments of Trainees and late reimbursement to Training Providers.
- Consults and communicates with Training Providers and Facilitators to ensure compliance with policy, procedures and guidelines for efficient operation of the Programme.
- Develops his/her own work plan and supervision in general but work is reviewed for achievement of objectives and adherence to Programme policy through discussions and reports.
- Performs other related duties as assigned by the Programme Director.
Placement and Operations
- Works with various Providers and Human Resource Managers to determine appropriate customized programmes and strategies for trainee placement.
- Maintains contact with business and industry to determine the needs for skilled personnel.
- Maintains and reports on statistics related to the provision of placement services to the Programme Director and/or respective Managers.
- Promotes OJT Services and maintains a high profile and professional company image.
- Establishes and maintains working relationships with training providers to assess the progress of trainees, resolve problems arising from placements and identifying areas for improvement.
- Conducts investigations and provide reports on incidents/issues arising from placement as may be required.
- Ensures the timely submission of relevant reports and documents from subordinates under purview.
- Achieves functional objectives through proactivity, communication and feedback to reporting relationships.
- Performs other related duties as may be required.
Leadership
- Directs and coordinates the work of a group of professional, technical and clerical support staff engaged in various activities including inducting trainees into the programme.
- Identifies placement opportunities in the Public and Private Sector.
- Liaises with the training unit to ensure compliance with systems that monitor trainee attendance and that training is relevant to the goals and objectives of the OJT Programme.
- Manages the performance of subordinate staff by setting performance targets, and conducting regular appraisals.
- Engages in coaching, and development of employees and recommending appropriate training where necessary.
- Maintains harmonious working relationships with and between staff members and resolves first-level IR Issues.
KNOWLEDGE, SKILLS AND ATTRIBUTES
KNOWLEDGE AND SKILLS:
- Knowledge of the practices of office management and supervisory skills.
- Ability to interface with stakeholders using current and emerging technology including social media applications.
- Experience in customer service.
- Knowledge of administrative and budget procedures.

- Ability to establish and maintain harmonious working relationships with fellow employees, trainees, and representatives of other organizations and members of the public.
- Extensive knowledge of the On-the-Job Training and apprenticeship type systems.

- Deliver on our clients’ core brand and proposition development through marketing strategies.

- Five (5) years’ experience in a supervisory role.
- Experience in Office/Branch Management.
