#1 ADMINISTRATIVE ASSISTANT – DUTY-FREE

JOB SUMMARY:The Administrative Assistant – Duty-Free will report to the Manager, Duty-Free. The selected candidate will perform various administrative and secretarial duties to accomplish the Department’s objectives effectively.
KEY DELIVERABLES:Accountability:
- Responds to confidential and routine correspondence in writing, including email messages directed to the Manager – Duty-Free;
- Ensures that the Manager – Duty-Free is informed of urgent and emergent matters for attention;
- Maintains all records (electronic and hardcopy). Responds to all requests and direct them to appropriate team members;
- Assists with the preparation of sales and customer reports relevant to the location, providing effective analysis;
- Prepares reports and documentation required by Customs & Excise Division (including but not limited to the Customs Ledger, Incoming/Outgoing Sales Reports), AATT and any other location regulator or entity;
- Prepares records relating to audits by external parties, including but not limited to Customs, Security, and Suppliers;
- Monitors the Duty-Free expense reports monthly and escalates variances to the manager;
- Validates records of employee data, inclusive of Vacation Leave requests and approvals, for monthly reporting;
- Raises PRs in the Materials Management System and tracks all Vendor invoices;
- Records and prepares minutes at meetings with stakeholders and staff;
- Submits Monthly Leave Liability Reports to HR;
- Coordinates and tracks contract through the Contract Routing system;
- Researches and analyses data for special projects;
Problem-Solving: Analyzes data, prioritizes tasks and deadlines and creates solutions to problems; suggests efficiency and quality improvements within the work area.Communication: Possesses a high standard of written and oral communication skills.
Team Player: Works well as a contributing member of a high-performance team; performs role assigned for the common good of the team; can assume the role of leader, thinker or doer to ensure the team meets its objectives.
PERSON SPECIFICATION:You must have a minimum of five (5) CXC/GCE Ordinary Level passes, including Mathematics and English, with a minimum of five (5) years of experience in a similar role. An Administrative Professional Office Management Certificate from the University of the West Indies would be an asset. You must demonstrate strong proficiency in MS Office Suite, particularly MS Word, MS Excel and MS Outlook.You must be able to work in a fast-paced, deadline-driven environment. You must have excellent verbal and written communication skills and possess the ability to exercise judgment and initiative with maturity and professionalism.

JOB SUMMARY:
The selected candidate will report to the Executive Manager, HR Business Support. The incumbent will demonstrate skills to perform tasks competently in the MS Office suite of applications and other software. The suitable candidate must be confidential and professional, exhibit excellent verbal and written communication skills, and be very organised and focused on achieving results.
KEY RESPONSIBILITIES:
- Ensures that all correspondence, presentations, written materials, etc. are prepared in a timely and appropriate manner for review and distribution to meet established deadlines;
- Prepares concise, accurate and well-organised documentation as well as letters and memos;
- Manages and maintains up-to-date, accurate calendars, action logs and event plans;
- Prepares disbursements for signatures and forward to appropriate managers;
- Maintains all files (electronic and hardcopy). Responds to all requests and direct to appropriate team members;
- Assists HR Administrators with interview coordination by acting as a liaison to ensure Candidates are ushered into interviews and compile required pre-employment documentation;
- Assists with logistics and event planning and execution as assigned, including arranging transport, contacting vendors, and coordinating staff;
- Prepares Monthly Leave Reconciliation reports to facilitate Leave Liability Board Reporting;
- Generates Staff Requisition requests as directed by the Executive Manager, HR Business Support or the Vice President of HR;
- Performs Inventory and Vendor management functions in SAP*. Generates Purchase Requisitions in SAP and monitors the purchasing process (where required);
- Interfaces with the Payroll Department staff to ensure payroll/HR items are actioned;
- Coordinates internal and external meetings, as directed and records and prepares the Meeting Minutes;
PERSON SPECIFICATION:
You must have a minimum of five (5) CXC/GCE Ordinary Level passes, including Mathematics and English, with a minimum of three (3) years of experience in a similar role. A diploma in Administrative Professional Office Management obtained from an accredited institution would be an asset. You must demonstrate a strong proficiency in MS Office Suite, particularly MS Word, MS Excel, MS PowerPoint and MS Outlook. Proficiency in the use of SAP would also be an asset.
You must be able to work in a fast-paced, deadline-driven environment. You must have excellent verbal and written communication skills and possess the ability to exercise judgment and initiative with maturity and professionalism. You will have excellent organisational skills with the ability to set priorities, manage multiple projects, and meet project deadlines.

He/she is responsible for analyzing sales, inventory, pricing, and other retail metrics data to provide insights and recommendations that support business decisions. This role will require a deep understanding of the retail industry and an ability to work with large data sets to extract meaningful insights.
KEY DELIVERABLES:Accountability:
- Analyzes sales and inventory data to identify trends and opportunities for improvement.
- Collaborates with cross-functional teams to develop and implement strategies that drive business growth.
- Utilizes data analysis tools and techniques to create reports and visualizations that communicate complex information clearly and concisely.
- Monitors pricing and promotions to ensure competitiveness in the market.
- Conducts market research to understand customer preferences and behaviour.
- Identifies and evaluates new business opportunities and potential risks.
- Develops and maintains relationships with internal stakeholders and external partners.
Reporting: Develops standard and on-demand reports and dashboards in accordance with pre-established timelines by using the relevant platforms that meet user requirements in order to allow data driven decisions to be made. Collaborate with external agencies, vendors, and partners to execute advertising campaigns.
Continuous Improvement: Analyses trends and daily reports to track leakages in the system and recommends improvements. Identifies new sources of accurate data which can be added to enhance Caribbean Airlines’ Revenue performance further.

#4 ADVERTISING COORDINATOR – RETAIL

JOB SUMMARY:The Advertising Coordinator – Retail will report to the Manager, Marketing. He/she facilitates the planning of effective advertising campaigns by liaising between the company and its advertising and brand agencies to grow and retain Caribbean Airlines’ customer base in all markets. The incumbent will assist in the appraisal of the effectiveness of advertising strategies, advertising programs and sales promotion activities system-wide and will ensure that we correctly identify our market and communications targets in alignment with Caribbean Airlines’ marketing strategy.
KEY DELIVERABLES:- Assists the Retail Manager with developing Advertising best practices, policies, and processes and sharing best practices
- Manages creative production and media timelines for small- and large-scale media campaigns, including timeline development, asset collection, creative reviews/approvals, tagging process and measurement activities.
- Tracks and organizes all advertising campaign materials across multiple channels and be the primary source for all advertising collateral needs.
- Tracks and manages all incoming advertising requests from agents and processes to Creative following Traffic processes.
- Supports the marketing & creative department by sourcing retail editorial on market trends, tracking and reporting on campaign results, offering new advertising opportunities, and new product information
- Works closely with Marketing Manager to collaborate on advertising opportunities in new markets and contribute to the Retail growth strategy
- Assists Retail Manager/Advertising with developing key target demographics, and desired reach and circulation goals
- Showcases advertising campaigns (brand and agent) to ensure the initiatives are shared across the company. Coordinates and support new product launches
- Works with relevant production Artists to ensure print advertising materials contain timely and accurate product and pricing information across all channels.
- Submits reports based on project timelines to all stakeholders as necessary.
- Works directly with various internal stakeholders such as Procurement, Finance, Sales, and Operations.

Demonstrated proficiency in using graphic design software to create branding elements, graphics for promotional materials, or social media is an asset.
