Key Functions & Responsibilities
- Physical ability to carry out assigned duties using a ladder or other equipment.
- Performs scheduled and/or unscheduled preventative or routine maintenance tasks at an assigned location(s)
- Checks for and replaces bulbs, ballasts or lighting fixtures as necessary.
- Checks for and unclogs sinks and toilets, or repairs of taps and minor leaks as necessary.
- Performs minor repairs within the building requirements as required.
- Undertakes routine checks of doors / cupboards and lubricates doors / cupboard locks and hinges when necessary.
- Assists in the relocation of or removal of furniture/equipment/files and boxes as directed.
- Conducts routine inspection of office buildings/warehouse as well as immediate surroundings and prepares a report on any areas of concern for the information of the Manager, Office Administration
- Assists in the preparation of a current list of furniture / equipment for repair inclusive of recommendations for remedial action to be taken.
- Replenishes water cooler bottles as necessary.
- Liaises with all external contractors that may be retained by the Unit and provides support as necessary to ensure the satisfactory completion of allocated tasks.
- Assists in the performance of routine office related tasks.
- Prepares tasks/job sheets of activities conducted in accordance with the Corporationâs policies.
- Develops and maintains a log of all parts and materials and ensures sign off by superior in accordance with the corporationâs procedures.
- Engages in proper housekeeping to ensure that all work areas are kept clean and safe in keeping with OSH requirements.
- Secures all materials, equipment and tools in designated areas.
- Performs any other duties related to the job function as may be assigned.

#2 Administrative Assistant
The Administrative Assistant provides support to the Senior Manager as well as other staff by performing a range of administrative and routine office functions.
Summary:
The Administrative Assistant provides support to the Senior Manager/Manager and performs a range of administrative and routine office functions that would ensure the efficiency and effectiveness of the Departmentâs operations and assist in achieving the strategic goals of the department and by extension, the Corporation.
Education, Knowledge and Experience
- Associate degree in business administration or related discipline from an accredited academic institution
- Associate Professional Secretary Certificate will be an asset.
- Strong proficiency in the use of Microsoft Office Tools
- Proficiency in the use of routine office equipment
- Minimum of three (3) yearsâ experience performing similar job functions in a large, diverse organization

Key Duties & Responsibilities:
General
- Coordinates and manages superiorâs calendar by arranging appointments and engagements as necessary.
- Coordinates the planning and management of meetings as directed.
- Records, compiles and distributes minutes of meetings as necessary.
- Undertakes follow-up activities regarding the Departmentâs work programme and decisions taken at meetings and submits progress reports to superior.

Document Management
- Maintains the records management function of the Department â both manual and soft copy records – in accordance with the Corporationâs approved policies and procedures and with guidance from Supervisor as well as the Records Department
- Develops and maintains departmental database(s) as directed.
Human Resources Responsibility
- Maintains records relevant to employee benefits, expense reports and/or other human resource functions as is required.
Inventory Management
- Routinely checks office machinery e.g., clear paper jams from copier; order toner, ink and other supplies; and reports any issues to the relevant Department.
- Maintains up to date records and adequate stock levels of office supplies to ensure that such items are appropriately accounted for and are available for use in the Department, as required.

#3 Facilities Manager
The Facilities Manager provides support to the Divisional Manager in the development and achievement of the strategic goals and objectives of the Division.
Summary:
The Facilities Manager provides support to the Divisional Manager in the development and achievement of the strategic goals and objectives of the Division. He/she is responsible for tactical planning, on-going liaison with the responsible personnel and coordination of maintenance, facility and equipment repairs that would support the strategic objectives of the Corporation, ensuring customer satisfaction in accordance with the Corporationâs Operational procedures and standards.
The incumbent has a critical role in reviewing systems and procedures, cost management initiatives and contract negotiations relative to maintenance.
The incumbent lends support to the Human Resource initiatives of the Corporation and provides guidance and direction to employees as applicable.
Education, Knowledge and ExperienceÂ
- Bachelor of Science Degree in Engineering, Facilities Management or related discipline from an accredited academic institution
- Masterâs Degree in a related subject area will be an asset.
- Certificate in OSH
- Certificate in Project Management will be an asset.
- Professional membership in a Facilities Management Association
- Working knowledge of State Financial Regulations
- Working knowledge of procurement process governing state agencies
- Excellent analytical skills
- Excellent negotiation skills
- Excellent communication skills
- In-depth knowledge of national building codes

Key Duties & Responsibilities: Development of Human Capital
- Liaises with the HR Department to ensure that applicable HR policies and procedures are implemented.
- Ensures the on-going evaluation of employee(s) and implements mentoring, coaching, and appropriate training and development where necessary.
- Assists in the development of a Divisional Training Plan based on a need assessment.
Management of the Facility
- Manages day to day maintenance activities to ensure operations at assigned Facilities are in accordance with contractual obligations and customer service standards.
- Develops an over-arching maintenance plan for all facilities under area of responsibility to ensure that routine maintenance works are appropriately recorded and scheduled.
- Contributes to the development and maintenance of a facilities asset management database.
- Prepares, presents and / or submits Reports/Board Notes/Presentations as directed.
- Prepares draft budgets and manages the approved budgets for the assigned Facility.
- Ensures on-going reviews and updates of the procedures to ensure continued relevance.
- Works closely with the HSE and Security Departments to ensure HSSE compliance at all facilities.
Operational
- Reviews service requests, recommends and implements the agreed corrective action.
- Oversees maintenance and repairs and ensures corrective action is taken in respect of all safety issues.
- Facilitates OSH Audits and Emergency Evacuation Drills
- Liaises with Maintenance Planner & Scheduler to ensure schedules support service standards.
- Evaluates services and supplies against cost and quality in accordance with established specifications.
- Checks and verifies approvals and ensures all activities adhere to documented procedures.
- Ensures that all financial transactions are undertaken in accordance with approved procedures.
- Participates in the evaluation and selection process for the engagement of Contractors/Service Providers
- Monitors and evaluates the general performance of Contractors/Service Providers on a continuous basis and advises upper management accordingly.
- Develops and implements a client feedback system and ensures that information received is documented and acted upon in a timely basis.
- Represents the Corporation at meetings with Clients; takes decisions within limits of authority and undertakes necessary follow-up.
- Monitors maintenance / repairs to verify completed works are in keeping with manufacturerâs specification, approved scope of works and/or subsequent contract.
- Monitors works in progress; ensures costs are managed within budgets and agreed contract.
- Ensures that accurate and complete documentation are appropriately filed for each maintenance related transaction.
- Monitors operations at the Facility(s) and submits plans for improvements, including recommendations for effective and efficient cost management.
- Ensures the records management function is maintained in accordance with approved procedures.
- Performs any other related duties as are assigned.

Education, Knowledge and ExperienceÂ
- Bachelorâs degree in management/Marketing from an accredited academic institution working knowledge of applicable State Financial Regulations and contract management.
- Proficiency in Microsoft Office Suite and any other software as relevant to job functions.
- Five (5) yearsâ work experience in a similar environment inclusive of three (3) yearsâ experience in a management position or managing a small business.

Revenue Generation
- Monitors and analyzes Facilities owned by the Corporation to identify and maximize potential earnings/revenue.
- Sets goals and develops plans for business and revenue growth.
- Promotes and markets the Corporationâs Facilities  in accordance with the annual Business Plan
- Conducts continuous evaluation on the viability of the Corporationâs financial business partners and submits Risk Management reports inclusive of recommendations, Â as necessary
- Identifies and analyses new markets and  submits recommendations for the consideration of the executive management
- Delivers presentations on behalf of the Corporation to internal and external stakeholders, as directed;
- Researches current market trends and opportunities available to UDeCOTT and makes recommendations as may be necessary
- Prepares rental/leasing options and negotiates Service Level Agreements to offer to potential tenants
Financial
- Develops a growth strategy focused both on financial gain and customer satisfaction
- Assesses value for money and make recommendations for improvement.
- Interprets financial data to ensure timely business information is presented to the Divisional Manager, Facilities to assist in decision making.
- Contributes to the achievement of the Corporationâs business objectives by providing advice and guidance on financial strategy.
- Ensures compliance with financial procedures and regulations
Investment
- Advises the Corporation on the suitability of investments to ensure the best returns consistent with the investment policy.
- Analyzes the economic, financial, political and other factors affecting markets and makes appropriate recommendations to maximize investment returns to the company.
Reporting
- Prepares Reports/Briefs etc. as directed
