Manager – Office Services
Main Purpose of Job:
The Manager â Office Services will ensure a robust, reliable & efficient Office Services department that supports strategic plan.
Key Accountabilities:
- Oversees day-to-day maintenance and upkeep operations of Buildings 1, 2 and vacation properties ensuring that all services are effectively delivered, and facility needs are met including custodial, life-safety, engineering and general maintenance.
- Advises clients about building/property issues, which can include technical, financial, legal, environmental / sustainability, building regulation and restoration matters.
- Monitors the deterioration or defects of properties and offers advice on repair work where necessary.
- Plans and oversees building work on projects that donât require an external party where necessary.
- Creates and manages PMP to ensure services are operating efficiently.
- Works with tender management system to ensure client requirements are met and proposals reflect their needs and the contract.
- Manages contract and price negotiations with vendors, service providers, leased items, etc.
- Manages relationships with vendors and service providers ensuring that all items are invoiced and paid on time.
- Ensures that construction and engineering projects comply with building regulations, planning conditions and, specifications.
- Develops Office Services staff by providing information, educational opportunities, and coaching.
- Ensures all aspect of Office Services are developed and implemented to achieve maximum efficiency and effectiveness.
- Manages the administration of all Janitorial Providers to ensure clean and safe environment.
- Manages the administration of all Fleet providers.
- Reliable & efficient management of AL fleet of vehicles.
- Coordinates between the lease/ car rental companies and with the drivers of the vehicles leased from them as regards appointments for maintenance and repairs.
- Fills out insurance accident reports where necessary and general correspondence.
- Keeps log of all company’s vehicles with all relevant information.
- Oversees the administration, maintenance and booking of all Vacation Homes.
- Oversee the ordering and distribution of Consumables and Stationery to all departments.
- Oversee all Canteen related services.
- Ensures the company’s corporate cellular plan and land line billings is administered efficiently.
- Oversees the purchase and use of Office Furniture including furniture spend.
- Responsible for Office Services’ budget: forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; Initiating corrective actions.
- Ensures a clean, safe and efficient work building environment.
- Performs any other duties assigned from time to time regarding Office Services.
Required Qualifications & Experience:
- Bachelorâs Degree in Engineering or equivalent.
- At least five (5) yearsâ working experience in facility operations and maintenance.
- At least three (3) yearsâ managerial experience in coordinating a team.
Required Knowledge/ Skills/ Abilities:- Knowledge of building codes and standards.
- Strong follow up skills required.
- Competent in MS Office suite – Word, Excel & PowerPoint
- Communications skills – the ability to effectively provide information to internally and to external suppliers.
- Ability to manage resources to ensure that established service levels are achieved at all times.
- Detail oriented and able to work in a fast-paced environment while managing multiple deliverables at a time.
- Strong problem-solving skills.
- Strong organizational skills.
- Strong project management skills.
- Work independently with minor supervision.

HSSE Coordinator
Main Purpose of Job:
Effectively execute the day-to-day operations of Health, Safety and Environmental (HSE) function and actively contribute to the planning and implementation of HSSE management initiatives/programs to promote a positive HSSE culture for the Group.
Key Accountabilities:
- Continually improves, evaluates, implements and maintains health, safety and environmental policies and procedures to protect employees and comply with company and local regulations.
- Plans, schedules, coordinate and conduct HSSE orientation.
- Maintains Angostura HSSE Performance Management Platform and prepare applicable HSE reports as necessary.
- Maintains effective document management and control of related HSSE Policies, procedure and systems.
- Assists in compliance reviews of General Risk Assessments (GRAs), Job Hazard Analyses (JHAs) and other HSSE related assessments.
- Supports in the maintenance of various Occupational Health, Safety, Security and Environmental management systems, HSE logs, registers and other documentation.
- Provides support and coordination of the OSH Committee.
- Coordinates and supports the execution of scheduled HSSE drills and other related exercises.
- Assists in the inspection and maintenance of HSE equipment such as firefighting/detection, spill response equipment, etc.
- Develops and delivers training programs in a manner that promotes employeeâs awareness and a positive HSSE culture.
- Develops and administers workplace HSSE initiatives and lead continuous improvement efforts.
- Ensures inspections and audits are completed as necessary (daily, weekly, monthly and annual) to comply with company and local regulations.
- Ensures compliance of regulatory requirements of the Trinidad and Tobago OSH Act 2006, Environmental Management Act 2000, the Groups HSE policies and procedures and other applicable bodies.
- Oversees hazardous waste storage area, waste reduction monitoring and ensure regulatory agency compliance, labelling, containments, proper disposal and documentation.
- Conducts regular unannounced walk through of work areas and talk to the personnel to identify their concerns. Communicates safety and health issues to the workers in a manner to help them understand why they are important and addressing them is for their benefit.
- Manages facility workplace incident investigations to include responding to and reporting all incidents, incident investigations, determine root cause, establishing recurrence prevention plans, and follow through. This includes regulatory reporting to OSH Agency.
- Assists in emergency response and provide first aid guidance.
- Keeps updated of safety, health and environmental regulation changes that affect the organization.
- Performs other work-related tasks as assigned.
Required Qualifications & Experience:
- BSc. preferably in the field of Health, Safety and Environment or in a Natural Science Discipline.
- Occupational Health and Safety Certification (preferably NEBOSH).
- Training in Project Management will be an asset.
- Training in ISO systems and auditing (preferably 9001,14001,17025, 22000 & 45001) will be an asset.
- At least three (3) yearsâ experience (preferably in a food manufacturing environment).
Required Knowledge/ Skills/ Abilities:
- Ability to work individually as well as in a team.
- Good team leadership and communication skills.
- Sound knowledge of safety and environmental regulation requirements.
- Report writing, statistical analysis and use of applicable software.
- Proficient in the use of Microsoft office 360 and other Microsoft applications (word, excel, power point, access, outlook, publisher, etc)
- Sound presentation skills and use of multimedia equipment.
- Time management to handle multiple tasks.
