Key Duties and Responsibilities:
Greetings
- Greets and/or directs visitors to assigned offices or meeting rooms in a courteous manner
Service
- Ensures that meeting rooms are prepared in advance of scheduled meetings
- Ensures that meeting rooms are kept tidy by cleaning and/or removing used utensils etc.
- Prepares and serves food, snacks and liquid refreshments during meetings and at scheduled intervals
- Answers incoming calls and provides assistance as may be necessary
Clean and safe environment
- Advises the administrative staff of any issues relevant to cleanliness of the Reception areas, kitchen areas and/or meeting rooms
- Assists with general cleaning and tidying of office areas as required

- Cleans internal and external areas of kitchen cupboards and tables
- Routinely cleans all appliances, including refrigerators, kettles, microwaves
- Maintains kitchen area safe and clean from any hazards – with specific attention to keeping floors free of spills
- Periodically checks offices and cubicles and collects dishes as required
- Clears meeting rooms after meetings have ended
Inventory
- Conducts weekly check of inventory for kitchen and bathroom supplies.
- Prepares and submits a list of inventory requirements to the Manager, Office Administration on a weekly basis
- Checks and replenishes bathrooms with hand soap, paper towels, toiletries, air fresheners at routine intervals during the standard workday
- Maintains an inventory of Corporation owned crockery and cutlery in keeping with the Corporation’s approved format
Reports
- Officially reports any concerns that may arise in the performance of assigned duties in the required format and within the specified timeframes.
- Reports any mal-function of kitchen equipment/ appliance(s) in accordance with standard operating procedures
- Performs any other duties related to the job function as may be assigned

Key Duties & Responsibilities:
General
Coordinates and manages superior’s calendar by arranging appointments and engagements as necessary
- Coordinates the planning and management of meetings as directed
- Records, compiles and distributes minutes of meetings as necessary
- Undertakes follow-up activities regarding the Department’s work programme and decisions taken at meetings and submits progress reports to superior

Summary:
The Corporate Governance Officer’s role is to provide direct support to the Corporate Secretary in the efficient and effective management of corporate records of the Corporation and its subsidiaries and in providing advice and guidance on governance and compliance issues facing the Corporation from time to time.
The incumbent will support the Corporate Secretary’s role to the Board of Directors of UDeCOTT, Subsidiary Companies as well as sub-committees of the Board as assigned by the Corporate Secretary. He/she will perform specific tasks as delegated by the Corporate Secretary.
Education, Knowledge and Experience
- Bachelor of Laws Degree (LL.B) from an accredited academic institution and Legal Education Certificate
- Bachelor’s Degree in Business Administration or Management from an accredited academic institution
- Certification in Corporate Governance training from an accredited academic institution will be an asset
OR
- Chartered Secretaries Qualification and be a registered member of the Institute of Chartered Secretaries
- Working knowledge of the Companies’ Act and other relevant legislation
- Working knowledge of construction law, including the application of standard forms of contract including the FIDIC form of contract
- Proficiency in the use of Microsoft Office Tools and software relevant to job functions.
- A minimum of five (5) years working experience in a Corporate Governance environment of a large, diverse organization with at least two (2) years at a supervisory level

UDECOTT BOARD, SUB-COMMITTEES AND SUBSIDIARIES
- Assists the Corporate Secretary in ensuring compliance of the Board of UDeCOTT and its Subsidiaries with the requirements of relevant laws, statutes, rules and policies (e.g. Companies Act, State Enterprises Performance and Monitoring Manual,).
- Provides advice and guidance to the Board and/or Management on corporate governance issues in accordance with the principles of good governance
- Receives, records and responds to requests for information under the Freedom of Information Act as directed by the Corporate Secretary.
- Reviews Notes to the Board, its Sub-Committees and Subsidiaries to ensure compliance with Company by laws, internal policies and processes and best practices prior to submission where applicable
- Assists in managing official records and minutes of the Board, sub-committee meetings and Subsidiaries
- Follows-up with Senior Management on decisions arising from the meetings of the Board of UDeCOTT, its Sub-Committees and its Subsidiaries as directed
- Takes accurate minutes at Board, sub-committees or subsidiary companies meetings as scheduled or as directed by the Corporate Secretary.
- Ensures execution and adequate reporting of action items as recorded, when necessary
- Assists in developing and monitoring compliance with the charters for each Sub-Committee of the Board
- Collates information and/or documents reports, ensuring decisions are communicated to the relevant stakeholders when necessary
- Assists the Administrator in compiling packages for Board Meetings etc. and ensuring delivery within the pre-determined timeframes.
- Assists the Administrator in the planning and executing of meetings as necessary
- Assists the Administrator in the planning and executing of special events/projects as assigned by the Corporate Secretary

Launched on December 28, 1994, the Urban Development Corporation of Trinidad and Tobago Limited (UDeCOTT) is a limited liability company registered under the Companies Ordinance (Ch. 13 No. 1) and specialises in project management. The Corporation’s line Ministry is the Ministry of Planning, Housing and the Environment. The rationale for the establishment of UDeCOTT was based on the following:

- The continued regeneration of the city of San Fernando
- The development of 13 major urban centres including Tobago as identified in the National Physical Development Plan
This strategy for the creation of a specific company to spearhead this initiative derives from the success of similar institutions popular in many countries across the world including Jamaica and throughout the United Kingdom.
Roles
UDeCOTT delivers on its mandate by using two approaches:
- Project Manager
- Development Facilitator
The specific approach selected depends on the type of project, the context of development and the requirements of the stakeholders.
UDeCOTT as Project Manager
UDeCOTT can be retained as a Project Manager by Government Ministries to provide project development services beginning with the project conception and ending with delivery of the completed project. In this role, UDeCOTT acts as an agent and provides the following specific services:
- Project identification and formulation
- Feasibility studies
- Planning and environmental studies
- Procuring consulting services for architectural and engineering design
- Procuring contractors for infrastructure and building construction
- Arranging construction management services
- Preparing project budgets
- Assisting with project financing negotiations
- Providing financial management and reporting services.
- UDeCOTT as Development Facilitator
UDeCOTT can be retained as Development Facilitator and function essentially as a consultant. UDeCOTT will undertake responsibility for the physical, economic, financial and environmental planning of a project and will mobilise the resources to implement the project.
