      Major Duties and Responsibilities

      The Coordinator leads efforts to develop and implement a customer-focused management strategy.       The Coordinator uses a variety of methods to drive improvement, including process mapping, data analysis, and standard operating procedures.       A key part of the job is collecting and analyzing management data from various sources. The Coordinator works with section chiefs and service managers to improve operations and customer satisfaction. This includes reviewing survey results, budget data, and service standards to spot trends and recommend improvements. The Coordinator prepares regular and special reports for Embassy management and the International Cooperative Administrative Support Services (ICASS) Council.

      The Coordinator provides administrative support to the ICASS Council, compiles customer satisfaction survey results, and ensures timely submission of required reports. They also help develop and maintain standard operating procedures across the Embassy and participate in working groups to update service standards.

      The Coordinator assists management chiefs in redesigning processes or organisational structures and may recommend outsourcing or consolidating services when appropriate. They help coordinate management input for resource requests and track key performance metrics. The Coordinator conducts cost-benefit analyses for proposed changes and ensures service providers meet established standards.

      The Coordinator coaches teams on process improvement and project management, providing regular training on data dashboards and improvement skills. They are a key user and trainer of Department of State management tools and systems, advising when these tools do not meet the Embassy’s needs.

      As an ILMS Power User, the Coordinator identifies staff for system testing, reviews updates, participates in training, and helps share guidance on system enhancements.

      In addition to these core duties, the Coordinator supports all management sections as needed. This may include helping with procurement, inventory, housing coordination, HR processes, new arrivals, classified pouch duties, and facilities projects. The Coordinator may also lead or participate in special projects, support VIP visits, and assist with Embassy events.
