DESCRIPTION
Amazon Advertising is seeking an energetic, bright, and driven executive assistant to support 2-3 directors in Performance Advertising. This EA will also provide site support for our rapidly growing NYC office, currently 350 employees. This position will report to a lead EA and serve as part of a close-knit EA team supporting the broader Performance Advertising organization of 2300+ employees worldwide.
The successful candidate will have 2+ years of professional experience and 1+ years of experience as an executive assistant, managing complex calendars and partnering closely with their executives. They will be highly organized, detail oriented, self-motivated, and able to respond effectively to changing workloads and priorities. They will possess the ability to complete tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having to know the total picture, and efficiently and proactively solve difficult problems that affect people within the department or other related groups.
This position requires high levels of integrity and discretion in handling confidential information, and professionalism in dealing with senior executives. A successful candidate will have exceptional written and oral communication skills, and will be tech-savvy, resourceful, and a creative problem solver.
Lastly, this position requires the capacity to work successfully in a team environment, build effective working relationships, and a good sense of humor.
Key Responsibilities Include:
• Managing complex calendar requests, meeting invites and conference room logistics
• Planning international and domestic travel
• Processing expense reports
• Managing large event logistics, catering, accommodations, and materials (e.g., business writing courses, All Hands events, etc.)
• Planning space for the team and facilitating office moves
• Improving morale, helping recognize outstanding efforts, having fun at work, and encouraging others to do the same
• Attending key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items
• Driving team activities (e.g., staff meeting agendas, weekly business reviews, All Hands events, snacks and supply ordering, team-building events, launch events and recognition posters)
• Managing workflows that require approvals
• Supporting partner teams when onsite support is needed (eg. team morale events, summits, onsites, etc.)
• Identifying internal and external approaches to solve problems in a creative way
BASIC QUALIFICATIONS
• Experience with executive level calendar management
• Experience with domestic and/or international travel coordination
• 2+ years of professional experience
• Experience with Microsoft Office Products
PREFERRED QUALIFICATIONS
• 1+ years of experience in an Executive Assistant role
• Exceptional written, oral, and interpersonal communication skills
• Positive attitude
• Detailed planning, time management, and organizational skills
• Ability to work cross functionally as part of an EA team
