To provide administrative support to Head Human Resources.

Duties and Responsibilities:

• Assist in the preparation of the reports/matters for Board and HR&IR Committee Meetings and ensure appropriate follow up action resulting from decisions taken at those meetings.
• Arrange employment interviews, prepare and send interview folders to all members of the interview panel as directed.
• Assist in the management of the performance appraisal process (receipt and dispatch of appraisals).
• Prepare and issue appraisal forms.
• Ensure receipt of completed appraisals.
• Note development/training issues and refer for appropriate action.
• Assist with research re the development of HR policies and procedures.
• Schedule and organize meetings.
• Process incoming and outgoing mail.
• Prepare letters, memoranda, reports, documents as requested.
• Act as custodian to departmental records, documents, and attendance register.
• Compile responses to correspondence as directed/required.
• Process invoices from Clients/Suppliers and follow up with the Finance Department to ensure timely payment.
• Assist with the monitoring of Human Resources Department’s Budget.
• Maintain filing system.
• Maintain an adequate quantity of housekeeping and office supplies.
• Responsible for distribution and monitoring of supplies.
• Ensure employees apply for leave taken.
• Ensure cleanliness of office area.
• Perform any other related duties as may be required.

Qualifications and Experience:

Minimum Requirements:

• Bachelor of Science Degree in Human Resource Management, Management, or any other related field.
• Computer literacy with familiarity in Microsoft Office.
• A minimum of five (5) years of experience performing administrative duties in a comparable environment.
• Any equivalent combination of training and experience.

To be responsible for the verification and processing of all payments relevant to the organization’s projects, completing all required system entries and schedules relevant to month end close-off.

Duties and Responsibilities:

• Verify vendor invoices, receipts, purchase orders and other relevant documents as and when received.
• Enter operating/reimbursable invoices and schedule payments to suppliers in line with their credit terms.
• Process other payments/transfers in accordance to payment schedule prepared by the Supervisor.
• Review payments/transfers processed via on-line banking to identify and correct errors, process returns to the account and update the general ledger of these transactions in a timely manner.
• Ensure all payments, invoices and supports are filed completed and in a timely basis.
• Assist with compiling suppliers’ statements on a monthly basis.
•  Reconcile suppliers’ statement and transactions as required.
• Contribute to the team effort by accomplishing related tasks when necessary.
• Respond to all vendor and internal inquiries regarding payments and outstanding invoices.
• Keep accounting records and compile information requested by customers, suppliers and other pertaining to vendor accounts.
• Review operating expenses prior to month-end close-off and prepare appropriate correcting entries for review and release.
• Prepare all relevant month end journal entries, General Ledger reports and other schedules as required.
• Assist in the documentation of processes, Drafting of Policies and Procedures.
• Perform any other related duties as necessary.

QUALIFICATIONS AND EXPERIENCE:

• ACCA Level 2 completed or equivalent
• A minimum of three (3) years experience in Accounts Payable.
• Any equivalent combination of training and experience.

SPECIAL SKILLS AND KNOWLEDGE:

• Experience with accounts payable, preparing journals, purchase orders.
• Understanding of Value Added Tax Act, exempt purchases, and vendor credit terms.
• Experience with reconciling vendor statements and general ledger accounts.
• Strong PC aptitude and skills including familiarity with Microsoft Excel, Access, Word, Power point and Outlook.
• Excellent analytical and communication skills and the ability to work in a fast-paced team environment are a must.
• Must be detail-oriented.
• Strong organizational skills, the ability to multi-task and handle multiple priorities and changes with professionalism a must.
• Ability to maintain a high level of confidentiality in handling payments and other information.
• Outstanding customer services skills.
• Ability to prioritize work to meet deadlines despite frequent interruptions.
