Description

Manages the Office of the CEO and efficiently performs all administrative functions. The incumbent acts as liaison to the Board of Directors and other key stakeholders at Ministry level and the Management Team..

1. Provides administrative support by preparing, proof reading, editing, copying and transmitting documents in accordance with pre-established specifications and standards.
2. Manages all incoming and outgoing electronic communications, as guided by the Chief Executive Officer.
3. Manages visitors and calls to the office and re-directs where necessary.
4. Maintains the Chief Executive Officer’s calendar by planning, scheduling and facilitating appointments and meetings, and advising parties in a timely manner.
5. Arranges business travel schedules and accommodation as directed by the Chief Executive Officer and maintains accurate records of all supporting information.
6. Communicates with Board Members, ministerial representatives, management team and other stakeholders within the company.
7. Monitors and completes projects by following up on results for work assigned by the Chief Executive Officer to various persons in the company.
8. Develops and maintains accurate filing, retrieval and retention systems in keeping with the company’s requirements.
9. Maintains an updated database of key stakeholders, contacts/sources which are required to support the efficiency of the office.
10. Receives and analyses queries on the behalf of the Office, conducts problem-solving research and makes recommendations to solve same.
11. Maintains stakeholder confidence and protects company operations by keeping information confidential.
12. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing order for supplies and verifying receipt of same.
13. Manages the company’s assets/equipment under assignment or control and ensures usage in accordance with established guidelines and requirements.
14. Performs all duties related to performance management for subordinate.
15. Supports the development and maintenance of a team environment by performing other related duties.
