JOB PURPOSE/ SUMMARY

The Administrative Assistant must be as a responsible, disciplined, trustworthy and industrious person, and possess a need for accuracy and a team player.

Must be able to work independently and show interest in broadening his/her knowledge. This person works under the guidance of  the Directors.

KEY RESPONSIBILITIES

(1.) Contracts Administration/ Management:

a. Enters all Equipment and other contract details in CRM systems

b. Assists in preparation of all Bids and Tenders documents

c. Manages all  related documents for all contracts

d. Enters and manages all contract data for all MBC Contracts

i. Managed Print Services (MPS) Contracts

ii. PC as a Service (PCaaS) Contracts

iii. Technology as a Service Contracts

iv. Standard Printer Contracts – Lease

v. Rentals

vi. Demos/Loaners

e. Prepares and completes all contract billing fortnightly and monthly, or cycle agreed by customer

f. Prepares all contract related reports, performance management of Contracts

(2.) Reviews all Orders and Contracts lines in the Alert and GP systems and prepares all monthly contract billing on the allocated dates and times or as requested by customers.

• PC as a Service (PCaaS) Contract Billing
• Technology as a Service Contract Billing
• Standard Printer Contracts  – Lease Billing
• Rental bills
• Other Invoicing as required

(3.) Prepares any other company-related bills

(4.) Ensures completion of daily/weekly/monthly filing for archiving

(5.) Assists in phone reception services at MBC front desk as required

(6.) Any other related duties that may be assigned from time to time.

EDUCATION

• 5 O’Levels including Mathematics and English
• Associates Degree in Business Administration
• Must be Computer Literate with a sound knowledge of Microsoft Office
