PROCUREMENT OFFICER

MAIN RESPONSIBILITIES

- Participates in the preparation of budgetary estimates of the Procurement and Disposal Function and assists in the preparation of the reporting on the activities of buyer/shoppers.
- Assists in the preparation of less complex reports; cabinet/ministerial notes, internal notes, circulars, memoranda and other documents related to procurement and disposal matters.
- Prepares and submits for publishing tender notices – Terms of Reference, Technical Specifications and Scope of Works.
- Assists in the preparation and maintenance of relevant procurement and disposal procedural manuals, desk manuals, workflow charts, data manuals and other procurement and disposal planning tools.
- Performs related duties as directed by the organisational relationship.
Minimum Qualification, Requirements and Experience:
- Some experience performing procurement and disposal related duties.
- Training as evidenced by a recognised University Degree (Level 6 – CIPS) in procurement management, business management, finance, marketing supplemented by core courses in procurement.

MAIN RESPONSIBILITIES:

The incumbent will be responsible for managing and executing routine functions pertaining to the care and custody of corpses.
MAIN RESPONSIBILITIES:

MAIN RESPONSIBILITIES
- Assembles patients’ records in chronological order in accordance with outlined procedures.
- Analyse patients’ records to check for consistency and accuracy in the documentation of diagnoses.
- Enter data into the computer system.
- Prepares monthly and quarterly reports on the activities of the main office.
- Prepares and maintain office stocks and subsequent stock records.
- Prepares a stock budget.
- Type duty rosters for nurses.
- Organises clinics:
- Submit daily requests for clinics to the file clerk.
- Peruse records and collect outstanding investigations and provide additional forms as requested.
- Locate missing charts for clinic.
- Return records to the file room at the end of each clinic.
- Inform the file clerk about the location of files that were not returned.
- Return loose reports to the file room.
- Prepares statistical data for wards if/when necessary.
- Maintains patient records in the file room.
- Tracks full charts, including their location within the department, the temporary location of the removed chart, the borrower, and due date, and list the charts that were not returned by the due date.
- Ensures that the procedures of the department and of the institutions are complied with.
- Performs other related duties as directed by the organisational relationship.
Minimum Qualification, Requirements and Experience:
- Five (5) CXC/CSEC subjects: two (2) of which must be English Language and Mathematics.
- Typing skills (45 w.p.m or above).
- Some work experience, preferably in a healthcare institution.

Minimum Qualifications, Training and Experience:
- Minimum of five (5) years’ experience as professional nurse, and training as evidenced by possession of a degree in Nursing from a recognised Nursing school.
- Bachelor degree in Nursing Administration would be an asset.
- Post-basic experience in Accident & Emergency, Trauma.
- Certification in supervisory management would be an asset.
- Registration with the Nursing Council of Trinidad and Tobago in General.

Incumbent will be responsible for producing Diagnostic Medical Images by operating equipment associated with Radiography, CT Scanning, Nuclear Medicine, Mammography and MRI at all radiological locations throughout the Institution.
MAIN RESPONSIBILITIES:
- Performs all types of routine procedures in addition to specialist procedures including Neuroradiography, Angiography, Mammography, Tomography, C.T., Scanning, Nuclear Medicine, Dental Investigations, Veterinary Investigations and MRI.
- Performs general X-ray examinations of any part of the human body, including all Alimentary Tract investigations and investigations requiring the use of opaque media and radioisotopes.
- Operates portable radiological equipment throughout the entire hospital.
- Ensures that all technical equipment used in the department are fully functional, all X-ray consumables are kept at an adequate level and all work stations are left clean and tidy at the end of each shift.
- Assists the organisational relationship during procedures in preparing Barium Meal and other solutions that are necessary during special screening investigations.
- Ensures adherence to all radiation safety requirements involving staff, patients, family and visitors.
- Greets and escorts patients to radiographic rooms, positions and immobilises patients, utilises appropriate radiographic exposures, processes films and digital images and returns patients to waiting area of the department.
- Operates a Computer Management System.
- Orders supplies, maintaining critical limits.
- Assists in the general clerical work such as answering the telephone and locating films.
- Ensures that radiation badges are monitored on a monthly basis.
- Ensures that all film, drugs, contrast media etc. are readily available and properly stored.
- Trains junior officers and checks radiological techniques used by the junior officers.

- Performs all routine, general and specialised X-ray procedures.

- Bachelor Degree in Radiology from a recognised institution.

PHARMACY ASSISTANT
The incumbent will be responsible for assisting with prescription dispensing, manufacturing/compounding, inventory control, I.V admixtures, data entry and clerical duties.
MAIN RESPONSIBILITIES:
- Monitors cleaners who have been assigned to his/her assigned areas, including pharmaceutical stock cabinets, shelves, refrigerators, reference library, work counters, etc.
- Receives, checks and shelve stocks as they are delivered.
- Maintains Kardex cards/data entries.
- Does monthly inspections for expiry dates of pharmaceutical in his/her area of the Pharmacy, which includes refrigerated products.
- Maintains stock levels of pharmaceutical products, vials, labels, worksheets, etc. in their designated area of work, and puts entries of re-orders in the appropriate books as necessary.
- Assists with the compilation of statistical records as advised, and assist with data entry.
- Maintains the filing system for prescriptions and other documents.
- Assists the Pharmacist with filling the patient’s prescription, by setting up prescribed items, writing/printing labels, counting/pouring the required amounts and entering the required information on the prescription, e.g. cost to patient, cost to EWMSC.
- Prepares billing invoices for the patient, Issue Reports, Statistics, Credits, etc.
- Assists with the distribution system e.g. Fill and check unit dose cassettes into wards.
- Returns selected medications returned from inpatients to the inventory.
- Ensures that the patient’s appointment list is received daily.
- Ensures that there are adequate supplies at all times.
- Maintains daily flow sheets and compile weekly and monthly flow sheets.
- Assists with recording entries of prescriptions.
- Assists with the delivery of pharmaceuticals to all inpatient units, outpatient units and other patient care areas.
- Delivers and collect all correspondence, stationery, etc. to and from the Pharmacy.
- Prepares the Pharmacy’s stock requisitions, e.g. sanitary and stationery items, etcetera, at the request of the Secretary; take to the respective supplies Stores and receive the requested items on behalf of the Department.
- Receives deliveries of pharmaceuticals from the Materials Management Department on Delivery Notes (DNs), and check deliveries against invoices/DNs and make documentation in accordance with protocol.
- Reports to the inventory Pharmacist all discrepancies, damages, short expiry dates, etc, in accordance with established protocols.
- Documents entries of receipt of bin cards/system, such as expiry dates, DN numbers, Purchase Requisitions, Purchases Order numbers, lot/batch numbers etc., and store receipts in their respective storage areas.
- Prepares and package pharmaceuticals nearing their expiry dates for return to the appropriate suppliers.
- Prepares a list of expired/damaged pharmaceuticals for write-off and disposal.
- Maintains an adequate supply of stocks in the I.V. Room, and keep hoods clean at all times.
- Takes out required I.V solutions and medications for patient prescriptions and prints/types labels.
- Logs required entries daily.
- Prepackages, labels and stores prepackaged products as directed and keep a record of all prepackaged and manufactured products as indicated.
- Supplies prepackaged items to other satellite dispensaries when requested.
- Files and maintains pharmacy dispensary documents, e.g. copies of Internal Goods Returns (I.G.R), Inventory Control Transmittals and credit forms for returned medications.
- Maintains legal record entries.
- Maintains general housekeeping of assigned areas.

MAIN RESPONSIBILITIES:
- Consults with the organisational relationship to ensure that the daily clinical operations are effectively organised, monitored and controlled.
- Performs regular clinical rounds with the emergency team to assess patients’ day to day management and care.
- Collaborates and communicate with the senior nursing staff to ensure the best nursing practices in the management of patients under care.
- Supervises the performance of House Officers when on shift and monitor all seriously ill patients within the shortest possible time.
- Supervises at least one clinical round during each twelve-hour session.
- Recommends intelligent and cost effective use of the Laboratory/Radiological services and such contributions to diagnose and manage inherent reliability.
- Ensures that Laboratory/Radiological forms are adequately annotated to assist such staff in providing optimal services.
- Supervises the use of drugs and their efficacy and duration in patient care and ensure prevention of their abuse.
- Ensures proper communication to all patients on the nature of their illnesses and the outlook in the treatment of their well-being, so that they understand the full extent of their recovery/disability as may be the case.
- Ensures that all patients are treated in accordance with the Patient Charter Standards.
- Ensures that all case discharge summaries are promptly written, and are accurate, relevant and concise, and must be countersigned.
- Keeps the Consultant informed of any difficulties that may arise in the management of any patient and seek such assistance.
- Supervises and assesses the clinical competencies of House Officers and Interns and sensitise the Consultant.
- Monitors and checks the accuracy of histories and physical examination findings of the House Officers and review their standards of note-keeping.
- Coaches and initiates knowledge sharing to House Officers and Interns assigned to the unit in collaboration with other Consultants.
- Guides, monitors and recommends to House Officers and Interns, appropriate management practices in patient care.
- Assists the Consultant with the research projects.
- Adheres to the professional code of conduct, Medico-legal principles and human resources policies and procedures of the Authority.
- Attends and participate in teaching clinics, rounds and lectures.

Minimum Qualifications, Training and Experience:
- Postgraduate DM in Radiology, evidenced by registration with Specialist status with the Medical Board of Trinidad and Tobago.

PHARMACIST II
The incumbent will be responsible for the operations of a dispensary in a moderate-sized hospital or health center(s). To perform dispensary duties where work involves a variety of duties including supervision of ordering, issuing and maintenance of an adequate supply of stocks. Works independently in accordance with professional standards and is subject to review by a superior officer for quality and adequacy of service.
MAIN RESPONSIBILITIES:
- Prescription Filling:
- Ensures prescription fulfils legal requirements as to content e.g. patient’s name, doctor’s signature, etc.
- Ensures prescriptions are valid, e.g. not counterfeit, not expired etc.
- Ensures medicines do not pose a direct danger to patient as a result of over dosage.
- Ensures medicines will be of benefit to the patient by being within the therapeutic range.
- Ensures medicines do not pose an indirect danger to the patient as a result of interaction among those prescribed, as well as others the patient may have been taking.
- Ensures medicines do not pose an indirect danger to the patient as a result of his/her medical condition, e.g. pregnancy, other existing illness.
- Ensures medicines do not pose an indirect danger to the patient by reason of food interactions.
- Intervenes on the patient’s behalf as necessary in relation to the criteria above.
- Writes and affixes labels for medicine packages.
- Retrieves medicines and fill correct quantities into packages.
- Delivers medicines to patient with instructions for use and storage, and information on effects and side effects.
- Where medications are not available, ensures that patient has approved document to purchase, or otherwise access such medication at another institution.
- Where an antibiotic, narcotic or controlled drug is dispensed, ensures that the records are updated.
- Supplies to Nurses Department (Proprietary, Narcotics, Antibiotics and Controlled Drugs)
- Reviews requests from Department.
- Ensures medicines requested are valid supplies for that particular department.
- Ensures quantities requested are consistent with historical usage.
- Ensures where records are required to be kept, that these are in good order.
- Fill orders and ensure that these are collected and signed for.
- Conducts stock inventory and make orders to replenish as necessary, maintaining critical limits.
- Inspects department to facilitate proper stock control, e.g. prevent overstocking, expiration etc.
- Compounding
- Prepares lotions for Wards/Departments and have these delivered.
- Compound extemporaneous stock supplies of Ointments, Lotions, Syrups and other medications.
- Compound specific preparations for immediate filling of prescriptions as necessary.
- Counsels patients on correct use of medications, desired effects and side effects.
- Procures pharmaceutical and non-pharmaceuticals from NIPDEC including writing requisitions and placement of phone calls and faxing order to suppliers.
- Maintains good inventory management practices through regular checks, rotating stock according to expiry dates, removing items with short expiry dates, and liaising with other institutions to assist in usage of short expiry items or return items to NIPDEC.
- Compiles listings of all expired or obsolete items on required forms for destruction after audit.
- Reports any discrepancies in receipt of pharmaceuticals and non-pharmaceuticals to Central Stores and continue with follow up action to ensure they are rectified.

- Supports the Manager in the production of network and connectivity designs, policies, strategies, architectures and specifications for the networks required to support the business requirements and strategy of the Authority.

- Coordinates the installation, testing, commissioning/decommissioning of networking and connectivity infrastructure in accordance with agreed quality and safety plans.
- Conducts research into and explores ways to use emerging technologies and products to further the networking and connectivity goals of the Authority.
- Participates as a member of the project management team for defined networking and connectivity projects of the Authority by undertaking activities such as the identification and mitigation of project risk and ensuring quality in project delivery.
- Assists with facilitating the administration of the acquisition, storage, distribution and movement of network and connectivity assets across the Ministry/Department.

- Recognises defective/unsafe equipment (sterile processing and patient care) and report at once.
- Collects, cleans, assembles and processes supplies, instruments and equipment specific to their area in order to provide sterile equipment, supplies and instruments.
- Checks and maintains an adequate level of sterile supplies and equipment as required in their area.
- Records and orders linen in order to maintain appropriate inventory level.
- Maintains and cleans work surfaces and equipment in department in order to ensure safe practices.
- Operates sterilizers and washers in order to provide sterile equipment supplies.
- Prepares items for gas sterilisation and demonstrate understanding of the necessary precautions associated with gas sterilisation.
- Initiates outdate check of sterile supplies.
- Attends in-service programmes provided for the Unit and Hospital as it pertains to their area.
- Fills case cart requisitions accurately in order to ship appropriate supplies/instruments.
- Performs required autoclave monitoring procedures (Bowie-Dick test, attest, record feeding of load runs, items and log maintenance of the autoclave).
- Restocks supplies as assigned.
- Hand-over sterile articles upon exchange of approved documents.
- Assists, as necessary, with routine non-technical operational or manual tasks.
- Ensures all infections materials are treated as per guidelines in management for all equipment according to policy
- Performs other related duties as directed by the organisational relationship.
Minimum Qualifications, Training and Experience:
- Five (5) O’Level passes which should include Mathematics and English Language.
- A minimum of three (3) years’ experience in the sterile processing environment.
Certification in sterilizing from a recognized body.

CENTRAL STERILE PROCESSING ATTENDANT
The incumbent will be required to perform routine work in the collection and distribution of items to and from the Central Sterile Processing Department.
MAIN RESPONSIBILITIES:
- Collects and receives contaminated articles from ‘User Areas’.
- Distributes sterilised items to ‘User Areas’.
- Collects water from the water treatment room for sterilisation.
- Maintains clean trolleys for the distribution of sterile items.
- Packs trolleys with sterilised items to return to ‘User Areas’.
- Packs consumable supplies for sterilisation.
- Takes linens to the sewing room for repairs.
- Assists on weekends with the assembling of instruments and linen when the workload is heavy.
- Uses an enclosed trolley for collection of contaminated instruments from the ‘User Area’ to be decontaminated.
- Follows the guidelines in the Quality Assurance Manual, Quality Management System Procedure Manual and the Draft Health and Safety Manual.
- Documents the instrument packs received from the ‘User Areas’, as well as, ensures documented contaminated instrument forms correspond with sterile items to be returned to ‘User Area’.
- Manually washes soiled articles, assembles soiled or washed articles in baskets or other containers prior to final cleaning and decontamination in mechanical or ultrasonic washer/sterilizer.
- Loads assembled orders into sterile transport carts and transports sterile supplies to patient-care areas, obtaining necessary approved documentation on hand-over.
- Performs other related duties as directed by the organisational relationship.
Minimum Qualifications, Training and Experience:
- Three (3) O’level passes which should include Mathematics, English Language.
- Knowledge of handling sterilised items.
- At least three (3) years’ experience in a sterilisation environment.
- Certificate in sterilizing from a recognised body

The incumbent will be responsible for the preparation of meals at a Hospital. Work may involve preparation of delicacies and special meals.
MAIN RESPONSIBILITIES:
- Checks menu daily to ensure availability of food items.
- Ensures that food is stored at the correct temperatures at all times.
- Adjusts menus when necessary and utilize the food stock that is on hand.
- Monitors the staff uniforms for proper attire at all times.
- Distributes food items to the staff to prepare and cook diets.
- Tastes food so as to ensure that the correct diets are prepared by the Cooks e.g. low salt, diabetic, renal, fluid soft, etc.
- Ensures the correct diets are taken to the clients on time by the food service workers.
- Verifies food received from stores use e.g. dry goods, cans, packs, vegetables, meat, fish, etc.
- Ensures stock cards are kept updated at all times.
- Receives cleaning agents from the general stores.
- Supervises storage and distribution of chemicals and cleaning agents.
- Supervises sanitation of kitchen and all equipment and ensures that such are within the quality guidelines
of infection control.
- Consults with kitchen supervisor at all times in the best interest of efficient and effective service delivery.
- Supervises all meal preparation.
- Reports malfunctioning equipment to kitchen supervisor promptly.
- Assists with meal preparation as and when required.
- Assists the organisational relationship in convening and organising monthly staff meetings.
- Performs overall supervisory duties also in the absence of the organisational relationship.
- Makes daily reports in communication book re: operations and general issues requiring attention.
- Assists in creating special menus for patient on various occasions.
- Performs other related duties as directed by the appropriate organisational relationship.
Minimum Qualifications, Training and Experience:
- Diploma or Advance Certificate in Food Preparation from a recognised institution.
- Five (5) Ordinary Level passes; two of which must be English Language and Mathematics.
- Minimum of three (3) years of relevant experience.
- Basic knowledge of the six (6) food groups and the therapeutic diets for hospitalized patients, e.g.
diabetic, low sodium, low cholesterol and renal diets.
- A valid food badge.

CONSULTANT – RADIOLOGY – New Arima General Hospital

CONSULTANT – RADIOLOGY
The incumbent will be responsible for consulting and advising other medical practitioners on various medical issues via reviewing current and historical assessments of patients to determine medical solutions to health problems. Also, to ensure adherence to guidelines and procedures are maintained to avoid medical legal issues.
MAIN RESPONSIBILITIES:
- Assists colleagues in units throughout the Hospital in the diagnosis and management of patients, as and when required.
- Continues clinical responsibility for all patients until their final discharge.
- Responsible for the standards of medical practice and professional code of ethics adopted by the Medical Board of Trinidad and Tobago.
- Provides continuous supervision and training of doctors, nurses and all paramedical personnel (where applicable).
- Accepts responsibility for the teaching of the highest standards of medical practice to both undergraduate and postgraduate students assigned to the unit.
- Maintains the discipline and code of behavior of all categories of staff directly under supervision.
- Implements and supervises the standard, format and accuracy of the records of all patients under care and review from time-to-time.
- Communicates to all patients under charge on the nature of their illnesses and the outlook in treatment of their well being so that they understand (within their capacity to do so) the full extent of their recovery or disability as may be the case.
- Assesses and reviews the Audit Committee reports and to implement changes as may be recommended from time-to-time.
- Participates in research projects which may involve the unit and/or in collaboration with other units.
- Accepts such other responsibilities (within reason) that the Authority through the Head of Department – may request of you from time-to-time, e.g. representation on Committees, investigate patient management practices, initiate new procedures etc.
- Maintains and upkeeps agreed standards of medical care for patients who come under his/her responsibility.
- Performs other related duties as directed by the organisational relationship.
Minimum Qualifications, Training and Experience:
- Postgraduate Degree in the appropriate specialisation.
or
- A certificate from a recognised Postgraduate Institution indicating two (2) years in the area of specialisation (where degrees or diplomas are not offered).
- Minimum of five (5) years of Postgraduate experience/training in the area of specialisation.
- Qualifications from an approved institution registered with the Medical Board of Trinidad & Tobago.
